What is Access Transparency?
Access Transparency is a GLPI 11 plugin that provides full traceability of user activity within the platform.Its core function is to offer detailed, centralised visibility into how users interact with all GLPI objects.
How can Access Transparency help me?
- Comprehensive Monitoring: Tracks user actions and object updates, providing easy access to per-user history in an exportable format.
- File Access: Specifically records every file-open document event to maintain oversight of document usage.
- Easy Access: Some records contain a link on the Itemtype column, which leads directly to the affected object.
- Language: Translates the records to make sure they are readable in the GLPI’s default language, or in English if a translation is not available.

Core Functionality & Purpose
Primary Goal: Tracks all user events in GLPI, including file access and object modifications and display them in a specific tab in the users menu.
Documentation: Maintains a historical of each event, including user, timestamp, affected document or object, as well as related system changes. In addition, some records include a link to access the affected object.
Required Dependency: No additional plugins are necessary.
Configuration
Log Retention: Define how long File open logs are kept before automatic deletion in Setup > General > Access Transparency.
Automatic Actions: File open logs are automatically purged under Setup > Automatic Actions > PurgeInteractionLogs.
Permissions: Managed under Administration > Profiles > Access Transparency, it is necessary to give permissions to users who will access the Access Transparency tab.
Access Tracking & Monitoring
Real-Time Access Monitoring: Track changes in files and objects as they happen, which also includes creation, delete and purge.
Detailed User Reports: Examine each user’s complete historical and documents accessed.
Document-Level Insight: View all users who opened a specific file in the Access Transparency tab in the document menu. It also displays the date and time the user opened that specific file.
Filtering, Export, & Analysis
Filtering: Filter by date, type of item, field, type of change, and even words, they can also be combined to find specific records in less time.
Quick Reset: Clear filters with a single click, making it additionally easy to restart analysis.
Export Options: Export logs from both global and filtered views.
Permissions & Access Control
Centralized Summary: Dashboard view of all user related events, with filterable lists to make the search easier.
Document and User Tabs: Each document and user has a dedicated tab for access historical, providing both current activity and historical insights and therefore simplifying audits.
Access Transparency Installation
The installation of Access Transparency follows the standard GLPI plugin process.
Access Transparency Configuration
Configuration is managed under Setup > General > Access Transparency. From this page, you can specify how long access logs are retained before automatic deletion. Moreover, to guarantee the correct functionality is required:
- Permissions: Manage which users can access the records under Administration > Profiles > Access Transparency.
- Automatic Actions: Configure how often the file-open log purge action is executed.
With these settings in place, GLPI centralizes access monitoring and traceability, ensuring transparency and security across the platform. This way, administrators can quickly adapt it to the organization’s needs.
