Access Transparency: A user activity monitoring plugin for GLPI 11

 

First announced at the Virtual GLPI Meetup 2025, Access Transparency for GLPI 11 is a powerful plugin that allows administrators and users to track user actions and file accesses within the platform easily. By providing detailed visibility into user activity, the plugin helps organisations maintain security, ensure compliance, and simplify auditing. Users can review historical logs, see each user’s file access activity, and export records for external analysis, making it easier to understand how information is being used across GLPI.

 

Why did we build Access Transparency for GLPI?

GLPI includes a native, detailed history of user actions on its objects and documents. However, this data is not aggregated or easily filterable by individual users.

As a result, administrators often lack immediate visibility into who accessed sensitive information, creating significant security and compliance risks because auditing individual user activity is difficult.

To address this gap, we created Access Transparency, a plugin that provides a clear and straightforward way to track activity. It not only enhances oversight for administrators but also strengthens the platform’s overall security by making access records easier to access and act on.

What does Access Transparency do?

The plugin adds a new Access Transparency tab in the GLPI interface, giving administrators and users complete visibility into file access activity across the platform. This centralised view allows you to monitor in real time:

  1. Event tracking based on native historical and logs.
  2. File open tracking

Additionally, a new tab is available within each document, providing a detailed list of all users who have opened that specific file, along with the date and time of each access. Some records also contain links that take you directly to the modified element, giving administrators quicker access to relevant objects or documents

With these features, you can:

Review historical logs and event records

  • View the complete history of File Open documents.
  • See all historical activity and relevant events related to a specific user.
  • Identify who accessed sensitive files and when.

See which users have opened a specific file

In the Access Transparency tab: see all File Open events for the platform.

In the document-specific tab: see File Open events for that particular document.


Filter logs using the search bar or the dropdown menu

  • Filter logs using the search bar or the dropdown menu
    • Filter by date, object, item type, field or a specific word with the search bar.
    • Combine multiple filters to locate specific events.
  • Clear filters with one click
    • Reset the table to view all records instantly.

Export all records to a CSV file for external analysis

  • Export from either the general Access Transparency view or the filtered one.

Automatic Log Retention

To help maintain system efficiency:

  • Configure how long File Open logs are kept before they are automatically deleted.
  • Adjust purge settings under Setup > Automatic Actions > PurgeInteractionLogs.

Localization

As with all our plugins, we use Localazy to manage translations and make it easy to support multiple languages. In addition, the plugin includes the following languages by default:

  • English (en_GB)
  • Galician (gl_ES)
  • Spanish (es_ES)

Moreover, we plan to add more languages over time as the community contributes new translations. If you would like to help translate the plugin or contribute to existing translations, you can do so via Localazy, making it easier for users worldwide to benefit from Access Transparency.

Where to get the plugin

You can access the plugin via the GitHub repository, where we keep it up to date and regularly add new features. Additionally, you can install it directly from the GLPI Network Marketplace if you prefer using the built-in plugin manager.
